Customer Service & Dispatch Coordinator – Equipment & Consumables
Part customer service, part order processing, part despatch.
Velflex is Australia's heat transfer leader. For 20 years, we've helped apparel decorators, brands, schools, sports teams and businesses across Australia bring garments to life with custom heat transfers, heat presses, vinyl, DTF equipment, consumables and expert education.
We're the one-stop shop for all things heat transfer — and our Wodonga team plays a key role in supporting customers with equipment, consumables, vinyl, accessories and inventory-based orders.
This is a varied, hands-on role where you'll support customers by phone and email, process orders accurately in NetSuite, prepare products for despatch, and make sure customers get the right products quickly. It's perfect for someone who likes variety, takes ownership, and is happy to jump in wherever the team needs support.
What you'll be doing.
You'll help manage equipment and consumables orders from first enquiry all the way through to despatch.
- Answering customer enquiries by phone and email
- Managing the Sales Inbox and responding to customer requests
- Processing website, email and phone orders accurately in NetSuite
- Helping customers with product questions across heat presses, vinyl, DTF consumables, printers, cutters, spare parts and accessories
- Providing product guidance and helping customers choose the right items
- Preparing quotes and supporting customer follow-ups
- Picking, packing and preparing orders for despatch
- Booking and coordinating freight where required
- Checking orders for accuracy before they leave the Wodonga facility
- Processing returns and helping resolve stock discrepancies
- Working closely with our sales, customer service, operations and despatch teams
- Keeping customer and order information accurate and up to date
What we're looking for.
We'd rather hire the right person and teach them the Velflex way than hire the perfect resume. Attitude, personality and a willingness to learn matter most.
- Friendly, reliable and approachable
- A great communicator by phone and email
- Organised and detail-focused
- Comfortable with computers and learning new systems
- Accurate with data entry and order processing
- Proactive, practical and willing to take initiative
- Happy to get hands-on with picking, packing and despatch
- Able to manage competing priorities without losing attention to detail
- Comfortable working as part of a close-knit team
- Positive, accountable and proud of doing good work
Experience in customer service, administration, order processing, despatch, warehousing, sales support, retail, equipment, consumables or logistics would be helpful. NetSuite experience is a bonus, but not essential — we can teach our products, systems and processes if you bring the right attitude and work ethic.
This isn't a technical repair role.
You'll give helpful product and order support across our equipment and consumables range — but deep troubleshooting on broken equipment isn't on you. Technical service issues get escalated to the right people.
A varied, on-site role with real ownership.
This is an on-site role at our Wodonga facility, because it combines both customer service and hands-on despatch. You'll spend part of your time at a desk helping customers and processing orders, and part of it preparing physical orders to go out the door.
The role may involve using equipment to help prepare orders. A forklift licence isn't required to apply, but it would be a bonus — and if any licences or additional training are needed, Velflex will organise them.
This one suits someone who likes variety and ownership. You won't be doing the same thing all day — you'll be helping customers, solving small problems, coordinating orders, supporting the team and making sure products get out accurately.
